STICKER SHOCK !!!! So why is this image so relatable to what we go through today? The way business is done today more often than not is to do a search via your phone, or through social media looking for that particular type of vendor. Everything is mobile and of course the very first question that is asked is "Can you give me a price for your services?" While this may seem to be a very simple question with a simple answer it is a question that many vendors dread to hear because the answer really isn't as simple as you might think. This is especially true for the entertainment providers because there are a lot of details that must be answered in order to give you that exact quote that you're looking for. What may be a more accurate way of stating your question would be what is your starting price for a wedding package. Now for the sticker shock! The reality is that most people really never have had to hire a DJ for a big event such as a wedding and the truth is that it isn't just the 4 or 5 hours that they will be playing music for your event. That is the time that your guests see us there for but for most professional companies it becomes more like a 10-20 hour event depending on what is involved in the planning and production of your special day and all the other expenses that go into that. Let's start with your inquiry. If you found the company via a wedding app like The Knot or Weedingwire or perhaps a magazine Like Bride & Groom, there are costs involved in that advertising and that is built into any pricing as well as if the company has a storefront or office of any kind. Once you have inquired and have agreed to a meeting that is also time that has to be considered. Usually a first time meeting should be anywhere from 45 - 90 minutes. There are many questions that need to be answered from both parties in order to get a proper quote. It's also a way of getting to know the company your dealing with and how much experience they have, how have past couples rated them, what kind of equipment will they be ringing to the event, do they have backup equipment, are they familiar with the venue your having your wedding at, and are they insured? These are some of the most important questions to ask but we also have questions that need to be answered. When we meet with our potential clients we like to know how they met, how long have they known each other, was there something special in the proposal. Where will you be going on your honeymoon, are there any special people that they want recognized at the wedding, what would be the most important thing that we could do to make it more memorable? The response of we want the dance floor packed is generic because of course there will be dancing. The reason we ask these questions is because we make everything very personal from announcements to introductions to toasts so when your wedding day comes, we are more friends than just the dj you hired. This makes for a special and more relaxed bride and groom day of wedding at least on our end. This comes with experience and yes that gets factored into the cost as well. I dj that's just beginning has the opportunity to ruin your once in a lifetime day and you can definitely put a price on that. The next is the planning part and this can take as much time as the actual wedding day and maybe more depending an what options you have added, but for the sake of this article we will keep it simple. We still have to get some sort of playlist from you and see what kind of music you prefer and work off of that and that would be for cocktail hour and reception. We will also need all information about the introductions and announcements and any other formalities that will be done that day. This usually gets done via online forms and we periodically check them and see if they are being filled out. If we need to prom them to get started or meet with them to go over what is required that is also time that has to be accounted for. We do insist on a final meeting at least 2 weeks prior to wedding day so we can go over the entire day of formalities and any new things that may have come up. Those meetings usually take up at least 1-2 hours at least for us. We want to make sure that we go over everything so there are no mistakes made on our part. One of the last things that go into consideration of time and expenses is the travel and set up and takedown. On the event date, we will be providing a minimum of 5 hours of entertainment for this example, but we usually get to the venue at least 1 hour before hand to set up and do sound checks and make sure that everything is right. At the end of the night we have to take everything down and pack it up and away. The travel to and from the event space is also included into the quote as are some of the other costs of doing business such as paying for the MC or DJ or both, insurance cost, cost of equipment. These all play a part in the quote that you have been provided so if you call a reputable company and get a quote of anywhere from $1500.00 - $2500.00 for a starting off price for a 4 hour reception, keep in mind all that goes into that from a company perspective. We by no means are going to say that a DJ giving you a $500.00 quote for your wedding is going to ruin it but why would you want to take a chance on that or take a chance that maybe that inexpensive or inexperienced DJ will not show up.
